Terms and Conditions

1. Description of the Service

FillBetter is a document processing service used by healthcare providers to assist with the completion of medical, administrative, or clinical forms.

Under this Service:

• Patient information is collected by the healthcare provider in the provider's office.
• The healthcare provider scans or uploads the form through their electronic health record (EHR) system.
• FillBetter processes the form and returns the completed document to the healthcare provider.
• The healthcare provider reviews, finalizes, and transmits the form to the requesting party.

FillBetter does not provide accounts for patients or healthcare providers. Only authorized Lotus Scientific personnel access FillBetter systems.

2. Parties and Roles

Patients

Patients may be asked by their healthcare provider to submit payment for use of the Service. Patients do not receive accounts, dashboards, or ongoing access to FillBetter.

Healthcare Providers

Healthcare providers and their staff (including physicians, nurses, and medical assistants) are responsible for:

• Collecting patient information
• Uploading documents through their EHR
• Reviewing and approving completed forms
• Submitting final documents to third parties

FillBetter / Lotus Scientific

Lotus Scientific acts solely as a service provider and, where applicable, as a Business Associate to healthcare providers under HIPAA.

3. No Medical Advice

FillBetter does not provide medical advice, medical opinions, diagnoses, or treatment recommendations.

All output generated by FillBetter is administrative or clerical in nature and must be reviewed by the healthcare provider. The healthcare provider retains sole responsibility for:

• Accuracy
• Clinical appropriateness
• Compliance with applicable laws
• Final submission of any document

4. Payment Terms

• Payment is collected before a form is processed.
• Fees are assessed on a per-form basis.
• All prices are set or presented in coordination with the healthcare provider.

Refunds

Unless otherwise required by law:

• All sales are final once processing has begun.
• Corrections for clerical or processing errors may be made at FillBetter's discretion.
• FillBetter does not guarantee acceptance of completed forms by insurers, employers, courts, or other third parties.

5. Data Handling and Retention

FillBetter processes information provided by healthcare providers in connection with form completion.

• Completed forms are returned to the healthcare provider.
• FillBetter retains processed documents and related data for up to fourteen (14) days after delivery for quality assurance and troubleshooting.
• After this retention period, data is deleted in accordance with internal policies.

Healthcare providers remain the system of record for all patient information.

6. Third-Party Services

FillBetter relies on third-party service providers to operate the Service, which may include:

• Cloud hosting providers
• Document processing and PDF technologies
• Artificial intelligence services, including Anthropic or OpenAI, to assist with document understanding and completion
• Payment processors

These providers act under contractual obligations consistent with applicable privacy and security requirements.

7. No User Accounts

FillBetter does not provide user accounts for patients or healthcare providers. There are no usernames, passwords, or persistent end-user access credentials associated with the Service.

8. Acceptable Use

You agree not to:

• Use the Service for unlawful purposes
• Attempt to access FillBetter systems without authorization
• Interfere with or disrupt the Service
• Submit fraudulent payment information

9. Disclaimer of Warranties

The Service is provided on an "as is" and "as available" basis.

To the fullest extent permitted by law, Lotus Scientific disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.

10. Limitation of Liability

To the fullest extent permitted by law:

• Lotus Scientific shall not be liable for indirect, incidental, consequential, or special damages.
• Lotus Scientific's total liability arising out of or related to the Service shall not exceed the amount paid for the specific form at issue.

Lotus Scientific is not responsible for delays, errors, or failures caused by healthcare providers, EHR systems, or third parties.

11. Indemnification

You agree to indemnify and hold harmless Lotus Scientific from claims arising out of:

• Inaccurate or incomplete information provided by a healthcare provider
• Improper use of the Service
• Failure to review or approve completed documents before submission

12. Governing Law

These Terms are governed by the laws of the State of Georgia, without regard to conflict-of-law principles.

13. Changes to These Terms

Lotus Scientific may update these Terms from time to time. Updates will be reflected by a revised "Last Updated" date. Continued use of the Service after updates constitutes acceptance of the revised Terms.
